How to Manually Create an Appointment for a Specific Contact in B2B Hub
Learn how to effortlessly schedule appointments in B2B Hub without the need for appointment pages. This concise guide takes you through the process, ensuring that you can efficiently create and send calendar invites directly from a contact's record. Whether you're closing deals or coordinating important calls, this step-by-step tutorial ensures you make the most of B2B Hub's capabilities.
Step 1: Access the Contact Record
Log in to your B2B Hub account.
Navigate to the contact for whom you want to schedule an appointment by using the search bar or going to leads.
Step 2: Open the Contact Record
Click on the contact's name or identifier to open their contact record.
Step 3: Access Task Actions
In the top right-hand corner of the contact record, click on the "Actions" button.
Step 4: Add a Task
From the dropdown menu that appears after clicking "Actions," select "Add a Task."
Step 5: Name the Task
Give the task a name that will appear in the contact's calendar. For example, you can name it something like "B2B Hub Decision Call."
Step 6: Set Task Type
Ensure that the task type is set to "Phone Call." This is crucial because it instructs B2B Hub to send out a calendar invite, rather than creating an internal task.
Step 7: Choose Date and Time
Select the date and time for the appointment based on your agreement with the contact. For instance, if you agreed to meet on the 20th at 10 a.m., select that date and time.
Step 8: Add Additional Information (Optional)
If you need to include additional information, such as a Zoom link, click on "More Options." This will provide a dropdown where you can add text, including the link.
Step 9: Confirm Invite Settings
Check that the setting to send the invite to the attendee is active (it should not be grayed out). This ensures that the contact will receive a calendar invite.
Step 10: Create the Task
After confirming all the details, click on "Add New Task" to create the appointment task.
Step 11: Task Verification
You will now see the task listed on the right-hand side of the contact record. If the contact misses the call, the task will be marked as overdue, and you can track their attendance by marking it as completed when they show up.
That's it! You've successfully manually created an appointment for a contact in B2B Hub, complete with a calendar invite. This method is particularly useful when you're in a live conversation and need to schedule an appointment without directing the contact to an appointment page.
